Selima User Group Minutes and FAQ

The Selima Super Users have arranged to meet their cluster group to cascade the training they received on the 4th October.  We thought it would help if we list the Frequently Asked Questions below:

  1. Amendments - when you have made an amendment and then decide you need to change something within that amendment there was a problem with having the same effective date. If you use the 'date box' Vision doesn't allow you to use the same effective date. To solve this you need to type in the date rather than using the date box.

  2. Casual support staff - when you have a casual member of support staff and you set them up on the 'Create Employee page' what fraction should you use on the 'Enter Contract Information for Payroll' if they have 0 hours? The fraction worked should show 52.143/52.143. To ensure the enhanced rate of pay is also paid for casual staff to take into account holiday entitlement you need to assign the correct grade. In the search criteria for grades there will be a '2' before the grade for under 5 year's service and a '3' for over 5 year's service (e.g. Casual Staff on Grade 3 with under 5 years service should be 2WOK03).

  3. How do staff get a P45 if they are put onto the 'Transfer List'? Selima responded to say that staff should not receive a P45 if they will be transferring straight to another Wokingham school. I confirmed with David Holder in Exchequer Services that Liberata did not send out P45s in this situation either.

  4. Why do we have to use the transfer list rather than one school setting them as a leaver and the new school putting them on as a starter? Selima have responded to say that if they are set up as a leaver they will receive a P45 which they should not receive. It may also affect continuous service dates so you should always use the transfer list.

Selima are also concerned that because some staff are being put on the transfer list and the new school is not picking them up from there and putting them on Vision as a new starter that the individual may get paid twice. Selima have said they will come back to me on this with a solution.
